Data and purpose
We process the booking information you provide: name, email, city, event date, venue, artist, capacity, budget and message. We use it to answer your request, assess the event and discuss potential services. Required fields are needed to process the enquiry. Do not include sensitive information or unnecessary personal data about other people.
If you accept statistics cookies, we also measure how the website is used with Google Analytics 4 and Microsoft Clarity: pages visited, device and browser, approximate location, how you scroll and click, and pseudonymous identifiers stored in cookies. We use Microsoft Clarity to capture how you use and interact with the website through behavioural metrics, heatmaps and session replay, in order to improve it. The booking form is masked, so what you type in it is not recorded.
Legal basis
Service enquiries are handled to take steps at your request before entering into a contract (GDPR Article 6(1)(b)). A subsequent contract is processed for its performance; statutory records are retained to meet legal obligations. The form checkbox acknowledges this notice and does not authorise advertising. Enquiries are not used for marketing campaigns.
Website statistics are based on your consent (GDPR Article 6(1)(a)), given in the cookie banner. You can withdraw it at any time with Cookie settings in the footer; withdrawal does not affect processing carried out before.
Retention
Enquiries are kept while being handled. Requests closed without a contract are reviewed no later than 12 months after closure and erased when no longer necessary, unless restricted retention or legal blocking is required for liabilities. This is KAVAK’s review policy, not a universal statutory retention period. Contracts and accounting documents are kept for their own statutory periods.
The same approach applies to the mailbox and exports. Server backups are made daily and kept for 14 days, after which they are deleted automatically. Statistics data is kept for the periods set in Google Analytics and Microsoft Clarity, and the cookies for the durations listed in the cookie policy.
Recipients and providers
Enquiries are stored in this website’s WordPress database, on a virtual private server contracted with Hostinger, and notifications are sent to KAVAK’s Zoho Mail mailbox (Zoho’s EU data centre). If you accept statistics, Google Ireland Limited (Google Analytics) and Microsoft Ireland Operations Limited (Microsoft Clarity) receive the usage data described above. These providers process data under their processing agreements and safeguards. Google and Microsoft may transfer data to the United States under the EU-US Data Privacy Framework and standard contractual clauses. We do not sell personal data.
Cookies and music platforms
This website uses a technical cookie to remember your language and, only if you accept them, Google Analytics and Microsoft Clarity statistics cookies. Details, durations and how to change your choice are in the cookie policy. We do not use advertising cookies. Music players are not loaded until you activate them: opening an external link or activating a SoundCloud, YouTube or other player connects you to that provider, whose privacy policy applies and which may receive your IP address and browser information.
Your rights
You can request access, rectification, erasure, objection, restriction and portability where applicable, and withdraw your consent at any time, by contacting kavak@kavakagency.com. We may request only the information needed to verify your identity. We do not make automated decisions with legal effects; Match filters the roster using selected criteria. You can complain to the Spanish Data Protection Agency at aepd.es.
